Complete your room inventory within 7 days

Welcome to Heriot-Watt University!

As part of your move-in process, all students living in university accommodation are required to complete an inventory form.

This form allows you to record the condition of your room and shared areas upon arrival. It's an important step in ensuring that any pre-existing wear and tear is documented, helping to protect you from being wrongly charged for damage at the end of your stay.

Why It’s Important

  • Helps us identify anything in your room or flat that needs fixing.
  • Ensures you won’t be held responsible for damage or missing items that were already there.
  • Supports a smooth and fair check-out process.

How to Complete It

  1. Access the form through the link provided in your arrival email. You must log in using your Heriot-Watt student account.
  2. Inspect your room and flat. Check each listed item. Tick “Yes” if it's present and in good condition, or “No” if it's missing or damaged.
  3. Use the comments box to describe any issues or damage. This is your record, so be specific and thorough.
  4. Submit within one week. The form must be submitted no later than one week after your arrival

Reporting Urgent Issues

If you notice anything that requires urgent attention (e.g. leaks, broken appliances), please report it separately using the maintenance QR code in your kitchen.

At the End of Your Tenancy

Your completed inventory will be used to assess the condition of your room at check-out. Any damage not previously reported may result in charges, so take a few minutes now to avoid surprise costs later!
